An error occurred while saving the comment Todd Miranda commentedBatch uploads for faculty would be nice; however, I do not dismiss the idea of individual uploads to the Ares Client item form. Although it is easy enough to create new item records from a citation, if this process can be automated using this new import tool, time spent copying fields into that new item record would be all but removed. Multiply that time saved by 500-800 completely new item records and you have a day or two saved.
I also really like the idea of importing a .ris or .bib file and letting Ares fill in all the item record fields. It is unclear in the comments whether ‘import citations’ means a file import or a block of text.
An error occurred while saving the comment Todd Miranda commentedLooking at the problem of importing multiple items it is apparent that the shared list function provides the best environment to import multiple items at once. Limiting a mass item import to specific file types generated by Reference Management Software tools will allow relatively easy mapping between Ares fields and those fields found in the RMS schema.
Essentially an upload button would bring up the find file window. Once the file is found, Ares would work though the file line by line importing each line into an appropriate Ares field until the end of the citation. At the end of the citation if the line reader is not at the end of the file, a new item record is started and the process continues until the end of the file.
Review of these imported items would still be a manual process by staff members but in the Shared List Management window this is accomplished relatively easily.
Thanks for Your Consideration!
An error occurred while saving the comment Todd Miranda commentedIt seems like importing citations from these citation management tools could be done using an addon. Has anyone tried?

An error occurred while saving the comment Todd Miranda commentedOur Librarians have asked for similar content and I have found it it easiest to send out lists of items by department. The Librarians don't have any access to Ares at all and they get the list they are ultimately looking for.
I accomplish this quickly using a Custom Item Search searching by the Courses.Department field matching a keyword like Education.

An error occurred while saving the comment Todd Miranda commentedWe were just discussing this issue in a meeting yesterday. It was explained to me by our library's web guy that there is no easy solution to this question. I think the best solution would be this post about uploading citations from citation managing software.

An error occurred while saving the comment Todd Miranda commentedHi Genie,
We are also an institution that does not utilize the shared list function. Because item records are easily cloned between courses, utilizing a function to 'house' instructors’ items and then place them into separate courses is additional work.
From your response I gather that right now a CMS cannot see those alias cross-listed courses. Is it possible to beef up the cross-listing function? Would adding the External ID property to the cross-listed course information allow a CMS to find that cross-listed alias course? And does that mean if it is found that the course would be opened by that CMS?
Best,
Todd -

An error occurred while saving the comment Todd Miranda commentedTracking this is possible; however any tutorials or guidance on best ways or options on how to do this would be helpful. Using a linked access database isn't quite cutting the mustard.

An error occurred while saving the comment Todd Miranda commentedIt took me a minute to understand this request, I had to look up an instance of a cross-listed course. It is not explicit that course A and Course B are cross-listed with Course AB. I agree that including/changing wording would be helpful. This might be accomplished with a "Not Found line" but wait your search was found in these cross-listed courses...
Tacked onto this is the request for ExternalCourseIDs in the cross-listing. If ExternalCourseIDs were included in the cross-listing tab, could/would the LTI find that cross-listed ExternalCourseID? If it could, would this solve the problem of multiple external course sections pointing to the same Ares course?

An error occurred while saving the comment Todd Miranda commentedI agree with Anne. Another useful course email template would be a count of items still being processed vs. items currently available. Ideally something like:
“Your course reserve requests for [Course] are being processed. There are still [count of items unavailable] items in processing…”
An additional use of course notes would be to remind staff to ask the instructor about specifics in the class upon cloning to a new semester. In other words "Why were these items removed from student view, do they need to be cloned to the next semester or can they be removed?"
