1. Termination Date

   Some of our streaming resources have license dates that have to be tracked. we need to be able to track this information to make decisions about whether to renew licenses or not. Please add a date "license ends" date field for these scenarios.

2. Allow public search of books that are available at loans desk/reserve room

5. Allow requests to be sent back and forth between Ares and ILLiad

   If a professor wants an item in Ares, but they have to get it through ILL, allow the requests to be sent to ILLiad and then back to Ares once the item has been received by the ILL department. Ideally, this process would work similar to the Aeon and ILLiad integration through the Web Platform.

6. Email templates: show instructor names as First Last (or separate first & last names entirely) rather than Last,First

   Starting in Ares 5.0, item-type email templates no longer draw from the User tags, and we must use either Course.Instructor or Course.InstructorDisplayName to insert an instructor's name in the email template. However, the default display for these fields is Last, First, so our emails now read "Dear Smith, Susan," rather than "Dear Prof. Smith" or "Dear Susan Smith" or "Dear Susan." Both Course.Instructor and Course.InstructorDisplayName show the same thing; if we change the display name in the course, both fields change. We'd like to be able to pull the instructor's name(s) into Item-type email templates as First Last (or separate first & last names entirely in different tags, although that seems more complex). One possible solution: Perhaps there could be a setting in the customization manager that allows us to choose to have the default course instructor display name show up as either Last, First OR First Last. (We'd be happy to have the instructor name display as First Last in our webpages as well.)

8. Have a mechanism for handling LMS course merges, particularly when combined with course and user loads

   This issue seems to affect every site that uses an LMS, but it becomes particularly problematic when users are also allowed direct access to the Ares web and when course and user loads are being used. This example was written out for Kent State to explain the problem they're facing when courses are merged in Canvas.

   Scenario:

   John is an instructor and is teaching Course 101. This course has two sections, A and B. Jack and Jill are students. Jack is enrolled in section A. Jill is enrolled in section B. This information is provided to Canvas through a data feed. That same data is used to generate a feed that is sent to the Ares server. Canvas and Ares both recognize that A and B are unique "course entities". When Jack logs into Canvas and navigates to course 101, he sees data that has been uniquely associated with section A. When Jill does the the same, she sees data that's been set up for section B and does not see what Jack sees, because section A and section B are distinct, even if they maintain the connection of having an identical "parent" course. This distinction between A and B is passed through to Ares, allowing instructors to have completely separate reserve lists for section A and section B.

   The data feed that has been sent to Ares also illustrates this separation between section A and section B. Section A has been given its own course in Ares, called CourseA, and section B has its own course, CourseB. There is no data link within Ares that suggests a relationship between CourseA and CourseB.

   The file sent to the Ares web server that contains data about courses, Courses.txt, has two separate entries for these sections.

   CourseA
   CourseB
   

   CourseUsers.txt has separate entries for the instructor for both courses. If we verbalize the data is would be something like:

   John has instructor-level permissions for CourseA.
   John has instructor-level permissions for CourseB.
   Jack has student-level permissions for CourseA.
   Jill has student-level permissions for CourseB.
   

   Providing this information directly to Ares allows students and instructors to access Ares outside of Canvas (amongst other things). This means that Jack can directly log into your Ares web pages and he will have access to CourseA. Jill can log in and see CourseB. John the instructor logs in and sees CourseA and CourseB.

   Then John decides section A and section B are similar enough in Canvas that he shouldn't need maintain them separately. Instead, he wants all of the students to just see one big happy Course 101. John enters into section A and selects a merge. Section B is archived. Jack will continue to see section A when he logs in and selects Course 101. Jill will now ALSO see section A when she clicks on Course 101 in Canvas.

   While all of this is happening, Ares continues to receive the original data feed that says that Jack is in CourseA, Jill is in CourseB, and John is the instructor for two separate courses. Here's what happens to our three friends.

   Instructor John clicks on the only Ares link now available to him from Canvas, which was within section A (because section B is no more) and is taken to CourseA in Ares. Potential issues for John:
       The reserve items that Jack had associated with CourseA in Ares might not be the same as what was in CourseB. He asks, "Where are my items?"
       If John navigates to the main menu in Ares (or logs into the Ares web pages directly), he will see that CourseB (section B in Canvas) still exists. He asks, "Why are there still two sections when I merged these?"
       All reserve usage stats for CourseB continue to stay with CourseB. The stats in CourseA misrepresent usage.
   
   
   Jack clicks on the Ares link in Canvas and continues to see the Ares course he has always seen - CourseA.  If Jack logs in directly to the Ares web, he still sees everything's the same. Jack is happy.
   

   Scenario 1 for Jill - which is not great, but not that big of a deal:

   Jill clicks on the Ares link in Canvas and now is added as a new student in CourseA by the LTI config.
       She no longer sees any of her personal tags for items in the course. All items appear as "New" and unread. She asks "Where are my personal tags? Why does it show I didn't see these? If she clicks on a Hot List entry for an item that's a child of CourseB, she will be taken directly into the "deprecated" CourseB, which will likely add to the confusion.
       If Jill navigates to the main menu in Ares (or logs into the Ares web pages directly), she will see two very similar courses. She asks, "Why are there two different versions of the same course?"
   

   Scenario 2 for Jill - this is the ultimate problem with all of this:

   Jill doesn't like to use Canvas and prefers to navigate to Ares using the web pages. She logs in and continues to see CourseB. Jill believes she is happy. HOWEVER - Instructor John has been making changes and adding new items and mandatory readings to CourseA, believing the merge has handled all of this and all of the students are seeing the same thing. She asks, "Why can't I find these assignments and readings?" 
   

   Library staff try to help clean up this problem.

   Staff manually enroll students from CourseB in CourseA and manually add any missing items that were in CourseB and not in CourseA. Jill now sees both courses when she logs in directly to the Ares web. Jill asks "Why do I see two courses?"
   Staff manually delete CourseB. This unfortunately wipes usage data, but Jill logs in and only sees the one course - but it's not the course she expects to see and her personal tags and missing. Her hotlist items that she had saved for CourseB are gone. The overnight load is set to autocreate courses. It automatically recreates CourseB and enrolls Jill. Jill logs in to the Ares web pages and now sees two courses and the one that's familiar to her contains zero items. Jill is confused. She is told that life will be easier if she uses Canvas. She does not want to use Canvas and has been told she does not have to use it. She is not pleased.
   

   This issue seems to affect every site that uses an LMS, but it becomes particularly problematic when users are also allowed direct access to the Ares web and when course and user loads are being used. 9. Save Customized Grids

   I would like this Aeon feature added to the Ares.
   I am try to Save the grid customization I have created:

   "Staff users with layout customization permissions can also save grid customizations as .xml files that can be shared with other users and uploaded onto their client forms."

   I want to be able to upload the file to use as my grid in every instance I needed. I want the same grid in each queue and for all my search results. We have 10 queues (or more as we add) and I have to “customize” them from scratch.

11. Clone Items to Courses by Course ID Without Searching

    Before the 5.0 upgrade, we used to be able to clone items by typing in the Course ID to the Clone menu. Now we have to use a search function, whether for a single course or multiple at once. It would be great to be able to clone items by manually entering the Course ID(s) without having to use the search function. We almost always have the Course IDs that we need to clone to on hand.
    Searching by Course Name or Course Number can bring up hundreds of results if there have been many sections of said course offered over the semesters, so selecting the desired sections can be a tedious task from such search results. Additionally, sometimes there is no commonality between courses that we can search for, so we are unable to clone to multiple courses at all in those situations.

12. ACL report generated by semester, not specific dates

    CCC asks for reporting over semesters, not based on a specific set of dates, for the Annual Copyright License report. It would be great to be able to select the semester(s) for the report instead of having to enter dates as these can vary widely. We often turn access on months before the course is available to students, so that faculty can access their content. The dates of availability really don't correspond to actual semesters.

13. Allow students to batch print of digitally uploaded files (like PDFs) from the web interface

    McMaster would be interested in a feature that allows students to select multiple items in the web and print copies of the associated files. An example case: a student wants to have physical copies of multiple PDFs to recreate the familiar experience of having a physical course pack, which the institution will begin phasing out, in favor of Ares and an LMS. The student desires the familiar ability to take notes on printed copies. An example case: instructors have previously included workbook-like documents in course packs that are meant for user annotation. Providing an easier way for students to batch print materials would allow this continued practice.

15. Additional ItemInfo fields

    We would like to have 5 additional ItemInfo fields added to the items table, 2 of which would be date formats for license data of streamed content. So we would have license StartDate and license EndDate for these items

16. Add setting to turn on/off auto update of client(s)

    At my library we prefer to wait and coordinate upgrades as a group (even the point upgrades). It would be helpful if we could choose to turn off the automatic notifications of available client upgrades that appears ('Update Available' screen prior to client log in screen). If there was a way to turn this feature off, possibly in Customization Manager, that would be helpful to head off staff tempted to click "Yes" before we have coordinated the effort. 17. EDU for Ares

    We would like to have a separate tool for upload of documents into the Ares similar to the EDU for ILLiad.

    This would help us reduce the applications our scanning staff need to know (and we don't want to give them access to entries that they might inadvertently change).

    Ideally, this tool would allow us to send to a queue of our choice instead of being hardwired to go straight to 'Item Available for Reserves'. This would allow us to proof the documents before they are delivered for courses.

    The BatchItemUpload feature still uses the Ares client. I’d like a separate tool where the staff don’t need to ftp anything.

18. IDS Logic integration with Ares

    We would like IDS logic to clean up requests made by patrons against the items in our catalog, similar to the functionality that already exists within ILLiad. Ideally, IDS would also look up availability and setup routing logic to acquisitions or a review queue if the item is unavailable.

19. Add CurrentStatus to the list of fields available for update in the Bulk Edit feature.ent.

    There are times when I need to review all items in a course, select several from the grid view, and route several to a new status. The easiest way to identify all items associated with a course is by opening the course record and clicking on the Items tab. There is no Route button in this menu and the Bulk Update button, which seems like it should be able to bulk update items to a new status, does not give CurrentStatus as an option. There is no option to search by CourseID from the Course Information Item search on the Home ribbon, so I need to either identify the status of these items from the Course View and then go back to the queues and filter by CourseID or other identifier, or I need to go use the Custom Search for items. These are both too involved for a function that seems it should be a default option. (description created by Kerry Keegan after discussion with Western University staff member)

20. Bulk edit Proxy field for items and search on location

    Ares bulk edit feature for item records is nice, but it does not include all the fields on the item record. We have a relatively common scenario in which we have moved a subscription database from IP Proxy to SSO for remote access. In this case, it would be nice to select items based on the URL used in Location, and then do a bulk update of the Proxy field. It would be even better if we could also do a Find/Replace in the URL in cases where the URL format changes.
